IOverview

A convention that looks and feels as strong as the Party behind it.

The Working Families Party’s New York City Convention brings members, leaders, elected officials, candidates, and partners together from across New York. Soft Power Studio will make sure the production matches the importance of the gathering and that WFP leaves the convention with strong, useful content.

Soft Power Studio will lead event production and on-site media for the convention. We will oversee the room setup, manage production vendors, coordinate signage and decor, direct on-site content capture, and produce social and recap content from the day.

Given the event date of Saturday, September 26, we have structured the work around a clear, expedited production process, with Soft Power serving as the central point of coordination across vendors, venue logistics, production, and media.

IIWhy Soft Power Studio

An established partnership with WFP

Soft Power Studio recently partnered with WFP on its reception during the Congressional Black Caucus Foundation’s Annual Legislative Conference, managing production needs on a compressed timeline. We are familiar with WFP’s brand, team, and expectations, which allows us to move quickly and execute at a high level.

Senior production oversight

Soft Power will serve as the central production lead, coordinating vendors, managing installation, placing WFP materials, troubleshooting in real time, and overseeing strike. WFP staff can remain focused on the program, members, and guests while our team manages production.

Strategic media direction

We approach event content as communications work. Before the convention, we will develop the story arc, interview prompts, and shot priorities. On site, our media director will work directly with our videographer to make sure WFP leaves with content that is timely, engaging, and useful across its channels.

IIIEvent Production

A room that feels intentional, energetic, and unmistakably WFP.

Soft Power will oversee the visual environment from the entrance through the stage, using freestanding production elements that add color and energy while preserving clear sightlines and meeting venue requirements.

All balloon installations will be freestanding or weighted. Nothing will be affixed to doors, windows, walls, or ceilings.

Entrance

Two seven-foot balloon columns will frame the entrance, creating a strong visual arrival point for guests.

Stage

A full-coverage balloon arch on a freestanding, weighted frame will anchor the stage, flanked by two balloon columns. The installation will be positioned to frame speakers and strengthen the stage visually for both photography and video.

WFP Backdrop

Two eight-foot balloon garlands will frame WFP’s existing backdrop, creating a dedicated setting for portraits, interviews, and guest content.

Room

Five to eight six-piece helium balloon arrangements will be placed throughout the space. Bouquets will be elevated and positioned to add color throughout the room without obstructing sightlines to the stage.

WFP Brand Materials

Our team will place WFP’s existing signage and decor during load-in, make sure materials are positioned appropriately throughout the room, and pack them for return during strike.

Content designed for WFP’s channels.

Soft Power will lead media direction and video production throughout the convention, capturing the program, members, speakers, and energy of the day.

Our media director will work directly with our videographer on site, identifying interview subjects, directing interviews, and making sure we capture the footage needed for both same-day content and the final recap.

Attendee Interviews

We will conduct short, conversational interviews with members, leaders, elected officials, candidates, and guests throughout the convention. Proposed questions include:

  1. What’s one thing in New York that costs way too damn much?

  2. What’s the most New York thing you’ve ever done to save money?

  3. Finish the sentence: Working families deserve ______.

  4. Who’s someone in your community who makes New York better?

The questions are designed to generate specific, personal answers that work well as standalone clips and as part of larger convention content.

Story & Shot Direction

Before the event, Soft Power will develop a focused content plan and shot list covering:

This gives our team a clear editorial plan for the day while leaving room to capture unexpected moments as they happen.

On-Site Videography

Our videographer will cover the program, room, interviews, speakers, and candid moments throughout the convention, working directly with our media director.

Same-Day Social Content

Soft Power will produce two to three short vertical videos during the convention, edited and delivered for WFP to publish that day.

Convention Recap

Following the event, we will produce a 60–90 second edited recap video featuring the strongest footage and interviews from the convention.

Final delivery: Friday, October 2, 2026.

  1. 01 Thursday, September 24

    Approval & Booking

    WFP approves the scope by 10:00 AM. Soft Power will immediately confirm the production crew, balloon installation, videographer, and any approved add-on services.

  2. 02 Friday, September 25

    Production Preparation

    Soft Power will finalize:

    • Venue logistics and load-in schedule
    • Room layout and installation plan
    • Media story arc and shot list
    • Interview questions
    • WFP signage and material needs
    • Speaker and media guidance
    • Final production schedule

    If the Influencer & Creator Strategy is selected, creator outreach will also begin immediately upon approval.

  3. 03 Saturday, September 26

    Load-In & Installation

    Our production team will manage load-in, balloon installation, room setup, and placement of WFP signage and branded materials. Soft Power will oversee the full installation and complete a final walkthrough before doors open.

  4. 04 Saturday, September 26

    Convention Coverage

    Our media director and videographer will work throughout the convention to capture program footage, attendee interviews, speakers, candid moments, and social-first content. Two to three same-day social edits will be delivered during the event.

  5. 05 Saturday, September 26

    Strike

    Following the convention, Soft Power will oversee full strike, pack WFP materials for return, coordinate vendor load-out, and return the room according to venue requirements.

  6. Friday, October 2

    Final Delivery

    Soft Power will deliver the completed 60–90 second convention recap video.

VIWhat We Need From WFP

To execute on this timeline, we will need:

One comprehensive fee covering event production, visual installation, production management, media direction, videography, same-day social content, and post-event recap production.

Event Production

Production crew, venue coordination, load-in, installation, WFP signage and decor placement, on-site production management, strike, and venue handoff.

Visual Environment

Entrance balloon columns, stage arch and columns, backdrop garlands, weighted helium arrangements, installation, delivery, and breakdown.

Media Direction

Pre-event content planning, interview strategy, shot list development, on-site media direction, and interview production.

Videography & Editing

On-site videography, two to three same-day vertical social edits, and one 60–90 second convention recap delivered within five business days.

Influencer & Creator Strategy

Soft Power will identify and invite a targeted group of New York creators whose audiences and content align with the convention.

Creators will initially be invited on a complimentary basis. Any paid creator partnership will be presented to WFP for approval before commitment and billed separately.
